Common questions

How does the AI pre-flight check work?

When a homeowner is writing a request, the AI reads your HOA's CC&Rs (a PDF you upload once) and the most-similar past decisions, then writes a short preview: likely outcome, what's missing from the description, conditions the board commonly attaches. It's advisory only — your board has final authority on every decision. Your data is never sent for training. Everything cites the actual source from your archive, and we strip any citation the model invents.

Do we need to upload anything for the AI to work?

No. It starts working from day one on basic completeness checks ('did the homeowner mention dimensions?'). It gets sharper as you upload your CC&Rs and as you build a history of decided requests — or you can bulk-import your spreadsheet of past decisions via the CSV importer and have full precedent from the first submission.

Do homeowners need to create an account?

No. They submit through a public link unique to your HOA and get a private status URL they can check anytime. Status updates also come via email and SMS.

What happens when the auto-approval deadline passes?

HOA ARC marks the request as auto-approved by statute, generates the official letter, emails the homeowner, and writes the entire chain to the audit log — including the fact that the board did not respond in time. You always know exactly what happened and when.

How is the audit log protected?

Once a row is written to the audit log, it cannot be updated or deleted — not by the app, not by a developer, not by a database admin without explicitly granting themselves the permission first. This is enforced at the database level (a Postgres GRANT/REVOKE policy), which is what makes it defensible in a legal dispute.

Can we customize the response deadline and approval threshold?

Yes — set the deadline window (most states require 30 or 45 days), the approval threshold (admin-only, majority, or unanimous), and your custom letterhead/signature block in Settings. The threshold is enforced before the decide button fires.

We're a management company managing multiple HOAs. Can we use one account?

Yes. One sign-in can hold roles across multiple HOAs and switch in one click. Each HOA has its own settings, members, billing, and audit log.

Can we import past decisions?

Yes. There's a built-in CSV importer at Settings → Import. It validates each row, lets you preview before committing, and immediately indexes the imported decisions into the AI precedent search.

How does pricing scale with our size?

Flat pricing by community size — no per-door fees: Solo for up to 25 units, Growth for 26–100, and Community for 101–250. Over 250 units, or a multi-association portfolio, just reach out and we’ll tailor a plan. Every plan includes every feature.

What about mobile?

The web app is fully usable on phones today — committee members can vote and comment from the couch. A native iOS and Android app is on the roadmap after we reach 20 paying HOAs.
