What HOA ARC is

HOA ARC is software for tracking architectural review requests, votes, and decisions. It is not a law firm. It does not provide legal advice. The auto-approval deadlines, decision letters, and audit logs it generates are tools to help your board make and document decisions — they do not replace consultation with an attorney for your specific governing documents and state statutes.

Your account

You are responsible for keeping your sign-in email secure. Any action taken from your account is attributed to you in the audit log. You must be authorized by your HOA to act on its behalf in the app.

Billing

Paid plans are billed monthly via Stripe. You can cancel anytime through the billing portal; access continues until the end of the billing period. Refunds for partial months are not provided by default — email if you need an exception.

Acceptable use

Don't use HOA ARC to harass people, store unlawful content, or attempt to compromise the service. We can suspend accounts that do.

AI pre-flight check

HOA ARC includes an AI-powered “pre-flight” preview that summarizes likely outcomes based on this HOA's past decisions and uploaded governing documents. The pre-flight is a preview, not a decision. It does not bind, replace, or constrain your board's discretion. Your board has full authority to issue any outcome it chooses, including outcomes different from what the pre-flight suggested.

The pre-flight is generated by a third-party large language model and may contain errors, omissions, or outdated context. Do not rely on it for legal advice or as a substitute for reading your CC&Rs. We log pre-flight calls only as part of normal operational metrics; we do not store the model's output as a record against the homeowner or the board.

When image review is enabled for an HOA (off by default), the same advisory rules apply to the model's observations about uploaded photos. The model's comments on a photo — that it is blurry, that the subject doesn't match the description, that the affected area isn't visible — are suggestions for the homeowner to consider before submission, not findings of fact and not grounds for denial. The board reviews the actual photos directly.

Service availability

We aim for high uptime but make no contractual guarantee. The service is provided "as is". We will not be liable for indirect, incidental, or consequential damages — including any disputes over architectural decisions documented in the app.

Termination

You can delete your organization at any time. We may discontinue the service with 30 days notice and will provide a way to export your data.

Changes

We may update these terms. We'll notify active customers by email of any material changes.
